How do you detect a duplicate invoice?

Compare the fields that rarely change together: vendor, invoice number, date and amount. The duplicate invoice checker in OverpayAlert does that for every invoice you send, allows for near misses such as a new number on an otherwise identical invoice, and flags the pair for review.

What is a duplicate invoice?

An invoice for work or goods that have already been invoiced. It can be an exact copy, a resend with a new number, or the same charge under a slightly different vendor name. Two matching invoices can also both be legitimate, which is why a person reviews the flag.

How do you identify duplicate payments?

Most duplicate payments start as duplicate invoices, so the cheapest place to catch them is the invoice pile. Some teams call this duplicate payment detection software. OverpayAlert checks each new invoice against the ones you already have. It does not see your bank or your payment runs, so it cannot tell you what has been paid.

Is this invoice matching software?

Not in the purchase order sense. Invoice matching software checks an invoice against a purchase order and a receipt. OverpayAlert is duplicate invoice software: it checks an invoice against your other invoices, for repeats and for price jumps. If you want a category name, invoice verification software is closer.

Does a flag mean the invoice is wrong?

No. It means someone should look. Two matching invoices can both be legitimate, and a price jump can mean the scope changed. You review it and decide.

Can it stop a duplicate payment by itself?

No. A flag never blocks or pays anything on its own. When you agree with one, Block stops the payment and marks the invoice Disputed, and your team takes it from there.

What does CrowdShield share?

A hash of the vendor identity and the type of flag, and later whether you confirmed or dismissed it. No invoice numbers, amounts, dates, line items, vendor names or company names. It is a Scale feature, sharing is on by default there, and you can switch it off at any time.

How many seats do I get?

Three on Starter, fifteen with roles on Growth, and as many as you need on Scale.

Does it work with QuickBooks or Xero?

Through CSV. You export a QuickBooks-ready or Xero-ready file and import it yourself. There is no live sync, and QuickBooks bill CSV import is not available for every US account.

Is double invoicing illegal?

That depends on intent and on where you are, which makes it a question for a lawyer. Most repeats are mistakes: a resend, a corrected number, two people submitting the same file. OverpayAlert flags the repeat and leaves the judgment to you.
